In addition, the data needed by the company to decide matters in relation to inventory can be easily generated. Moreover, the inventory system promtes effective inventory control which ensures stocking the in demand and correct items in the correct quantites. This system can help the company to avoid overstocking. When an organization overstocks, money is wasted since procuring, storing, and accounting for unneeded items require time, space, and money which could have been used on more critical assets. Likewise, when understocking occurs the organization will more likely to only partly meet their mission or possibly not meet the mission at all. Also, a weak inventory control system is more prone to errors and fraud. The Problem and it’s Settings

Nowadays, the computer prove to us its effectiveness in searching and communicating

the people around the world. And it is also a guide in dealing business. A business is typically

formed to earn a profit that will increase the wealth of its owners and grow the business itself.

The operators and owners of a business have as one of their main objectives, the receipt or

generation of financials return in exchange for work and acceptance of risk.

Inventory systems often face customer demands for many different products. The demand

characteristics may vary from product to product and therefore an inventory manager will

generally apply a customized policy for every product. However, in most cases, all customer

demand for a single product is handled in a uniform way. Although the order sizes may vary

greatly and some orders can be handled in a different way than others, each unit demanded is

considered equally important. The system also allows the inventory to be well in-checked

without much labor. Just by having the name of their product entered in the database. It can be

checked or updated if they have it. The system is good for its easy to use, effective and efficient.

Also it can really make a difference when it comes to keeping inventory. The Proposed

Computerized Inventory System will give a big relief to the employees and employers as well,

when approved and used.

In addition to the complexity of the process, the employee responsible on this task also

needs to check the stocks once in a while so as to monitor which items are already getting below

the allowable minimum quantity. Because of the draining work, there were circumstances when

the inventory record in the computer does not tally with the actual amount of the available items.

Another thing to consider in manual inventory is prone to errors since it is inevitable that the

Employee assigned to do the inventory, security is also being risked. If not properly monitored,

theft and loss of items can actually take place. It is also time consuming to take note of several

details each time an item is brought in and out of the stock.

Certainly, there are plenty of small retail outlets, manufacturers, and other businesses that continue to rely on manual means of inventory tracking. Many companies and businesses are using sales monitoring and inventory systems for their success and growth. It is an effective way for monitoring sales and   tracking different   products and materials that are transferred in and out of a company’s warehouse or establishment. Moreover, a sales monitoring and inventory system promotes effective inventory control which ensures stocking the marketable and correct items in correct quantities. This system can help the company to avoid overstocking. When a company overstocks, money is wasted since procuring, storing, and accounting for unneeded items require time, space, and money which could have been used on more favourable and marketable assets. Having a developed system on sales monitoring and inventory makes the company more productive, efficient and convenient both to the company and its client. The sales and inventory system is meant to help the company employees and personnel to show customers more relevant items, hoping to expedite and increase the sales and most importantly to increase the profit of the company. With the aid of a sales monitoring and inventory systems, product management will be more consistent, reliable and efficient.

Soundpoint Electronics and General Merchandise is a retail enterprise located at Brgy. Taboc, Borongan City, owned and managed by Mr. Crisanto Jose C. Labro.
The computerization of their existing system is one of the primary reason why I conducted this study. I believed that with the computerized sales monitoring and inventory system, the problems met on the existing system will lessen and eventually eliminate.

STATEMENT OF THE PROBLEM

This study aims to solve the following existing manual sales monitoring and inventory problems: 1. Their present sales and inventory system is highly labor intensive because they require continuous monitoring on their business enterprise on a daily basis. 2. In terms of their sales transactions, the only record that they have are the customer’s official receipts and the problem with that is not all customer’s ask for an official receipt. They cannot determine how much their total earnings are at the end of the day because their records or the official receipts that they keep are not complete. 3. Lack of security in terms of their sales and their products. The business owner will find it difficult to see if some products are lacking or missing because they don’t have any written records about the available products. 4. Unreliable inventory and sales report. Because they don’t have a complete records of their inventory and sales transactions, they cannot produce any inventory or sales report that are really consistent and dependable.

SCOPE AND LIMITATION OF THE STUDY
This study was conducted at Soundpoint Electronics and General Merchandise located at Brgy. Taboc, Borongan City. This was conducted during the first semester of school year 2013 – 2014. The proposed sales monitoring and inventory system will: 1. This can no longer be highly labor intensive because with the aid of the sales monitoring and inventory system, they can monitor their sales and determine their lacking and unavailable products with the accurate reports that the system will generate. 2. An inventory system must balance having enough inventories on hand to meet the demand of customers while investing as little money as possible in inventory. Perishable products add another dimension of management considerations because they must be cycled through the inventory system more quickly and stored in a way that preserves their value. An inventory control system is an integrated package of software and hardware used in warehouse operations, and elsewhere, to monitor the quantity, location and status of inventory as well as the related shipping, receiving, picking and put away processes. In common usage, the term may also refer to just the software components. An inventory control system may be used to automate a sales order fulfillment process. Such a system contains a list of order to be filled, and then prompts workers to pick the necessary items, and provides them with packaging and shipping information. It is a supervision of the supply and storage and accessibility of items in order to insure an adequate supply without excessive oversupply. Inventory management systems are software programs used to maintain, gather and track inventory from the moment it reaches a retail setup to the moment it is sold. Automation has increased the efficiency and accuracy of inventory management, allowing companies to get information about a particular product's sale levels and whether it is time to reorder at the very moment the item reaches a predefined stock level. The McDonald’s started in 1954. Raymond Kroc who is the founder saw a hamburger stand in San Bernardino, California and visualized a nationwide fast food chain. Kroc tested himself as an ancestor who revolutionized the American restaurant industry. Actually, Raymond Kroc is esteemed being the Farther of Industry. It became a popular and profitable teen hangout. In 1948, the brothers closed and reopened the restaurant to sell only hamburgers, milkshakes and French fries. Inventory System maintains an orderly flow of supplies, raw materials, or finished goods through an office shop/factory because of items in any inventory. Represents cost, they need to be controlled. The purpose of inventory system for management are to keep inventory levels and cost at desire minimums while maintaining to proper safeguards over materials to places and people who need them. Inventory review refers to the time interval between counting inventories. Periodic review systems have a set schedule for conducting an inventory count. Transactional review systems update the inventory count after each transaction. Periodic review is less resource intensive but more prone to creating shortages and inventory discrepancies while transactional review is more accurate but requires more resources. Inventory costs can be broken into several categories: the actual cost of the inventoried product, the cost of storage and the cost of unmet demand if inventory is not available to fill orders. Another purpose is shrinkage control, that is monitoring the frequency of loss, theft, or breakage of products received. Another very important function of inventory control systems is asset valuation; that is establishing the value of the products on the shelf for tax purposes at the end of the tax year. According to the Small Business Administration, all inventory systems strive to strike a balance between managing costs and the business advantages of a broad selection of goods to offer to customers. All inventory systems, regardless of technology, require some element of visual inventory management. Radio frequency identification inventory system is a system considered an IT tool that can meet the needs of both mobility and timeliness is radio frequency identification (RFID). Through radio signals a product tagged with RFID is put in memory until solid. With this technology in place it ensures the product will be in the right place at the right time to boost sales and streamline managing inventory. It also updates the system when an item is returned by a customer. When these items are recorded it allows the store to the ability to see when it needs to order more inventory and the count of goods sold. When using this type of inventory there is no need to do a yearend inventory unless there is a discrepancy of the inventory and the records. If this happens a journal entry is made debiting an inventory over and short account crediting the inventory but if the inventory shows more on hand then the inventory is debited over and short is credited. During perpetual inventory transactions the inventory will be accounted for in different ways. The perpetual system shows inventory purchases are debited to inventory during a given transaction. Freight, purchase discounts, allowances and returns are also debited to inventory transactions. The costs of goods are recorded by the real time of each sale with a debit to cost of goods sold. Physical inventory counts are done at least once a year to account for breakage, errors, theft, ect. Perpetual inventory is also best for business that have large inventory and a high turnover in there company and by using simple calculations to maintain inventory it helps with the lost of inventory and the high turnovers.

Summarizing data and writing reports take lot of time, cost- time is money and employees data duplication: the same data gets repeated over and over since the workers find it hard to keep track of the documents, information and transactions. Lack of security: since data is stored in filing cabinets it is freely available to anyone. If information falls into the wrong hands it can be used against the company and customers and can blackmail them. Common errors: when entering data customers might have accidentally switched details and data since it is hand written. Inconsistency of data: there will be unavailability for future use, since data might get misplaced during manual filing. So data won’t be preserved properly for future use.

Repetition of work: if there are any changes to be made, the data will have to be entered again. At times the worker would forget to make the changes or forget that they had already altered it and might redo it again, it’s for a second time consuming. Too much paper work: since everything and every detail are written down manually in paper there will be too much paper work! Space consuming: since the data and paper is stored in filing cabinets it consumes too much place, as the amount of work done on paper increases the filing cabinets too increases. Slow retrieval of data: the information of customers and details are stored in different parts of the site and so takes a long time to retrieve the data. It takes a long time to find the information about a relevant person. In case of a Delivery, the delivery will be held back. This results in a sharp drop in sales, unhappy customers and a bad impression on the company.
